Exhibition Rules & Regulations
EVENT REGULATIONS
1.Proposed room layout plan to be forwarded 28 days prior to date of event for approval
2.Copies of the following documentation are required from yourselves or from contractors carrying out work on your behalf e.g. stage sets/sound and lighting/stand building etc :
a) Public and products liability insurance certificate
b) Health and safety policy
c) Risk analysis
d) Method statement
3.‘P.A.T’ CERTIFICATE – any electrical appliances, which will be plugged into our supply, must have a valid P.A.T. (Portable Appliance Test) Certificate irrespective of age. If a valid PAT certificate is not presented for inspection at your event, then we can only presume it is unsafe to use and we will not allow the appliance to be plugged into our supply
4.Minimum space of 2m for all aisles/gangways is required
5.There must be visible fire exit signs at all times
6.Power available – see standard room plan (3 x 3 phase 32 amp)
7.All power to tail into 3phase supply. Royal Armouries Hall wall sockets not to be used
8.No cooking, warming of food or naked flames are allowed in the Hall
9.Food Fairs only – stand holders are required to give samples of all food that may be given away to guests as per Food Hygiene regulations
10.Royal Armouries Hall has a sprung wooden floor and care must be taken not to exceed floor loadings of 4KN/sq.m UDL, with 10KN/sq.m over 130sq.m.* (this is a special strengthened area in the Hall of only 130 sq.m)
11.Floor at all times to be protected from heat and spillage of food or oils
12.Charge for the Royal Armouries Loading bay is £11.00 plus vat per hour (minimum 4hour call out charge). If required this must be booked at least two weeks in advance
13.Carpet tape must be NEC approved
14.Rubbish removal. Royal Armouries (International) plc will remove reasonable amounts. Excess amounts will be chargeable
15.No packing or combustible materials to be stored in the Hall whilst the exhibition is in progress
16.Access equipment i.e. ladders etc – exhibition organiser to use own. Due to Health and Safety regulations we cannot loan this equipment out
17.Electrician – must be qualified to 16th Edition and should test all equipment before use
18.Signage We cannot allow signage/posters to be fixed to the walls. Where any damage occurs we are obliged to make charges
Failure to comply with any of the above could result in the cancellation of your event and where necessary charges for damages will be charged to the client.
FIRE SERVICE REGULATIONS FOR BRINGING VEHICLES INTO THE ROYAL ARMOURIES HALL
1 Only sufficient petrol to drive the vehicle in and out of the Hall should be retained in the fuel tank.
2 Petrol must not be decanted within the building.
3 Petrol filler apertures must be securely sealed with a locked filler cap.
4 Batteries should be disconnected and removed.
5 The vehicle should be secured against unauthorised access.
6 Wooden boards are to be used to transfer the cars into the Hall. Boards are then to be put under each wheel and drip trays under the vehicles. At NO TIME should the cars be allowed onto the timber floor without spreader boards under the wheels.
